Employees' Provident Funds and Miscellaneous Provisions Act, 1952, governs the EPF registration rules and procedures. Any organizations that employ 20 or more employees has to registered with EPFO. Although an establishment can take registration with EPFO in case of less than 20 employees’ also.
Employees Provident Fund (EPF)
Employees Provident Fund (EPF) is a social security scheme which is implemented throughout India and is regulated by the Employees Provident Fund Organisation (EPFO) which is formed by the mandate given by Employees Provident Funds Act, 1952. EPF is designed to offer social security benefits to employees of a particular organization and building stronger employer-employee relationship.

Conditions to Register under Employees Provident Fund (EPF)
- Companies having an employee base of 20 or more, within one month must register from the time of attaining this strength, in addition to certain penalties which are applicable for delay in EPF registration.
- Co-operative societies must register if their employee strength increases to 50 or more.
- Registered organizations whose strength falls below the minimum specified number will continue to be under the purview of the above act.
Step by Step EPF Registration Procedure for Employers

Register your Organization with EPFO
First and foremost step is registering your company with EPFO. This can be done easily by visiting the website and register the organization with EPFO by clicking on the “ESTABLISHMENT EPF REGISTRATION”.

Read the User Manual
Once you complete the first page you will be redirected to the next page where you will find an “INSTRUCTION MANUAL”. It would be beneficial for every user to first download the manual go through all the technicalities involved and read the instructions properly before going further in the EPF registration process.

Register DSC
Once an employer has created its unique login credentials viz. the Universal Account Number [UAN] and password, then they can login anytime using them and download the instruction manual. One of the prerequisites for getting EPF registration online, one must avail the DSC [Digital Signature Certificate]. DSC is the safest way of signing a document and it authenticates the identity of the employer.

Fill the Employer’s Details
Clicking on “I have read the instruction manual” gives your consent that you have completely read all the details properly. Click on “REGISTER BUTTON”. This will redirect you to a new page where all the employer’s details need to be filled in. The fields marked with a red star are mandatory and needs to be filled in with due care.

Fill the Details Correctly
Name: The name must be entered exactly as specified in the Income Tax Department documents. Any mismatch in the name will lead to rejection of your application.
PAN Card Details of Employer: After entering the PAN details of employer, a message will appear that shows employer is not registered previously. PAN will verify the name of the applicant and an online application will be permitted once your PAN details are verified.
User Name: You can choose a username of your choice. If that username is available then the system will accept the same or else you will have to choose some other username.
Mobile PIN: You will receive a PIN number on the mobile number which you have registered. Once you receive the link then click on “I agree to the above declaration”.
Activate E-mail: Verification of your email is must so as to submit your application. An email verification link will be sent to your given email id, you just have to click on the link and get your email id verified.

- Partnership Deed (for Partnership firms)
- GST Registration Certificate
- PAN Card of the business entity

Every employer should deduct and contribute in EPF for the employees whose basic salary is equal to or less than Rs. 15000 per month.
12% of basic salary or Rs. 1800 per month whichever is lower.
The establishment where number of employee’s are 10 or more, shall take registration under ESIC.
3.25% of gross salary is contributed by employer for each employee.
0.75% is deducted from each employee’s gross salary as ESIC contribution.
